How to reduce printing costs at home and in the office

Printing adds up fast. These practical changes cut ink, toner and paper costs without much effort.

Updated January 2024

Cut ink and toner use

  • Use Draft/Economy mode for everyday internal documents.
  • Print in grayscale unless color is needed.
  • Choose high-yield (XL) cartridges or an ink-tank model for lower cost-per-page.
  • Use a smaller, ink-efficient font for long documents.

Save paper

  • Turn on automatic two-sided (duplex) printing.
  • Use print preview to avoid wasted pages.
  • Print multiple pages per sheet for reference copies.

Buy smarter

Compare the cost-per-page, not just the cartridge price — a cheaper cartridge with a low yield can cost more over time. Subscription ink (like HP Instant Ink) can save money for predictable volumes, but check the plan matches how much you actually print.

Maintain to avoid waste

A well-maintained printer wastes less ink on cleanings and fewer pages on misprints. Keep firmware current, use supported paper, and run cleanings only when needed.
