iPhone reports the print job was cancelled by the printer

The job left the iPhone, reached the printer, and the printer sent back a cancellation. That is different from a job failing to send: the printer made an active decision to reject it. Media mismatches, security settings and memory limits are the usual reasons.

What causes it

  • The paper size or type requested does not match what is loaded
  • The printer ran out of paper or hit a jam mid-job
  • The job exceeded the printer's memory for that document
  • The printer requires a PIN or user code that AirPrint cannot supply
  • A quota or accounting rule on an office printer rejected the job

How to fix it, in order

Work down the list and stop when the printer recovers. The steps are ordered from most likely and least invasive to last resort.

  1. Match the paper size to the tray

    In the AirPrint options before printing, tap Options and set Paper Size to match what is actually loaded, usually A4 or Letter. A mismatch causes many printers to cancel rather than prompt, and this alone accounts for a large share of these cancellations.

  2. Check the tray and clear any error

    Look at the printer's display for out-of-paper, jam or cover-open messages and fix what it reports. Refill the tray and make sure the guides touch the stack rather than sitting loose, which can cause misfeeds that abort a job.

  3. Print a smaller job

    Try one page rather than a long document, or a photo at standard rather than maximum quality. If the small job prints, the printer is running out of memory on the larger one, and splitting it or printing from a computer is the practical answer.

  4. Check for secure print or PIN requirements

    Office printers configured for secure release or user codes often cancel jobs that arrive without credentials, because AirPrint has no way to supply them. Ask whether a direct queue without secure release is available for mobile printing.

  5. Restart the printer

    Power it off, unplug it for a minute, then plug it back in and let it complete its start-up. This clears latched job-handling states that keep rejecting new work even after the original condition is resolved.

  6. Update the printer's firmware

    From the printer's control panel or its web page, reached by typing its IP into a browser, check for and install a firmware update. AirPrint handling is a common target for firmware fixes, particularly around media selection.

  7. Test from another device

    Send the same document from a Mac or Windows PC. If it prints there, the difference is in what AirPrint requests versus what the computer's driver requests, which points at media settings rather than at a broken printer.
