Windows shows "Printer is in an error state" when the printer reports a problem it cannot describe. Nine ordered checks separate a physical fault from a spooler or driver fault.

"Printer is in an error state" is Windows repeating a fault the printer reported without a plain-English description. In most cases the printer itself knows exactly what is wrong, so the fix starts at the machine: open the doors, check for paper and jam fragments, reseat the cartridges and read the display or the blinking lights. If the printer looks healthy, the fault is on the Windows side, and it is usually the print spooler, a stale driver or a bad cable.
Quick fixes first
- Look at the printer's own screen or lights and clear anything it reports: open cover, no paper, jam, cartridge missing.
- Power the printer off, unplug it from the wall for 60 seconds, plug it back in and let it finish its start-up cycle.
- Unplug and re-plug the USB cable at both ends, or on a network printer confirm the panel still shows a Wi-Fi address.
- Go to Settings › Bluetooth & devices › Printers & scanners, open the printer, choose Open print queue and cancel every job.
- Press Win+R, run
services.msc, right-click Print Spooler and choose Restart. - Print a test page. If it works, the queue was jammed rather than the printer.
Why Windows says a printer is in an error state
Every printer reports its status back to Windows as a numeric condition rather than a sentence. When the condition is one Windows recognises, you get a specific message such as "Out of paper" or "Paper jam". When the printer reports a condition Windows has no wording for, or when the printer stops replying mid-job, the operating system falls back to the generic "error state" text. That is why the phrase covers everything from a lid that is 2 mm open to a dead logic board.
Three broad groups cause it. Physical faults on the printer are the largest group: paper, cartridges, doors, sensors and carriage obstructions. Communication faults are the second group: a USB cable that has worked loose, a hub that cannot supply enough power, or a network printer whose IP address changed after a router reboot so the Windows port now points at nothing. Software faults are the third: a corrupted job in the spooler folder, a driver replaced by a Windows update, or a second copy of the same printer installed as a duplicate queue.
Fix 1: Clear the physical faults properly
Do this even if the printer looks fine. Open every door and tray, including the rear duplex door and the cartridge access door, and close each one firmly until it clicks; a door that is resting shut still reads as open to the sensor. Pull the paper stack out, fan it, square the edges and reload it with the guides just touching the sides, not clamping them. Remove each cartridge or toner and refit it until you hear it lock. On an inkjet, look for a scrap of paper or a shipping clip in the carriage path and slide the carriage gently by hand with the power off to feel for an obstruction.

Fix 2: Restart the spooler and empty the spool folder
A single corrupted job can hold the queue in a fault state that Windows reports as an error state on every subsequent print.
- Press Win+R, type
services.mscand press Enter. - Find Print Spooler, right-click it and choose Stop.
- Open File Explorer and go to
C:\Windows\System32\spool\PRINTERS. Delete everything inside that folder, but not the folder itself. - Return to
services.msc, right-click Print Spooler and choose Start. - While you are there, double-click Print Spooler, set Startup type to Automatic and confirm the Recovery tab restarts the service on failure.

Fix 3: Rule out the cable, port and power supply
On USB, plug directly into a port on the computer rather than a hub, monitor or dock, and try a different port on the other side of the machine so you land on a different controller. Printer cables are one of the few peripherals where a cheap cable genuinely fails; if you have a second cable, swap it. On a laser printer plugged into a power strip with other high-draw devices, move it to a wall socket: fusers pull a large current when they warm up and a browning-out printer reports odd faults.
On a network printer, print the printer's own network configuration page from its panel and compare the IP address with the one Windows is using. In Windows, open Settings › Bluetooth & devices › Printers & scanners, click the printer, choose Printer properties › Ports and look at the port name. If the numbers differ, the printer has been given a new address by the router. Fix it permanently by reserving the address in your router or setting a static address on the printer, then either edit the port or remove and re-add the printer. Fix 4: Remove duplicate queues and stale drivers
Windows happily keeps three copies of the same printer, and jobs sent to the wrong copy sit in an error state forever.
- Press Win+R and run
printmanagement.msc. - Expand Print Servers › your PC › Printers. Remove every entry for the printer except the one you actually use, including entries with "(Copy 1)" or "(Copy 2)" in the name.
- Expand Drivers. Right-click the old driver package for that model and choose Delete, then Remove driver package.
- Restart the PC, then add the printer again from Settings › Bluetooth & devices › Printers & scanners › Add device.
If Windows refuses to remove the driver because it is in use, stop the Print Spooler first, do the removal, then start it again.
Fix 5: Reinstall the right driver for 2026
Since July 2026, Windows 11 installs most new printers on Windows Ready Print, the Mopria and IPP-based driverless stack, instead of a vendor driver. That is fine for everyday printing and it is more stable than an ageing vendor package, but it can expose features the printer expects to negotiate differently, and older models are not covered at all.
- Printer made in the last five years: let Windows install it driverless first. Add it by IP or by name and print a test page before installing anything else.
- Older printer, or you need duplex, trays, stapling or the vendor scan software: download the full driver package from the manufacturer and install that instead.
- Windows Update has an optional driver: check Settings › Windows Update › Advanced options › Optional updates › Driver updates.

Brand notes
HP
HP printers commonly land in an error state because of a cartridge or printhead condition that the panel describes but the driver does not relay. Check the panel first, then run HP Print and Scan Doctor on Windows, which reads the printer's own status and reports the real fault. Epson

Canon PIXMA and MAXIFY units show a numeric support code on the panel or in the Canon status window. Write it down: the code identifies the fault exactly. B200 and 5B00 are the two that most often surface in Windows as a generic error state, and both are covered in our B200 guide.
Brother
Brother lasers report machine errors as a two-character code on the LCD. If the display shows nothing, check the toner and drum are seated and the front cover latch is clean; a sticky latch is a classic cause of a Brother that reports a fault to Windows but looks fine.

If nothing worked
Two patterns point at hardware. The first is an error state that returns within a minute or two of every reset, on any computer, with no message on the panel: that usually means a sensor or the formatter board is failing. The second is an error state on a laser printer accompanied by a grinding or clicking noise, which points at a gear or the fuser.
Repair economics are blunt in 2026. A workshop assessment runs roughly 60 to 120 US dollars, 50 to 100 pounds, 90 to 150 Canadian dollars or 100 to 180 Australian dollars before parts, and a formatter board for a consumer model often costs more than the printer did. For a sub-300 machine over four years old, replacement is usually the rational choice; for a business laser with a low page count, repair still pays. Can a bad USB cable cause an error state?
