Printer Offline? 9 Fixes That Actually Work (Windows 11, Mac, HP, Canon, Epson, Brother)

When a printer shows as Offline, that status is a decision your computer made - not an error the printer reported. Windows or macOS tried to reach the printer at a stored network address, got no reply within a few seconds, and flagged it Offline. In the overwhelming majority of cases the printer itself is healthy, powered on and connected to Wi-Fi; the address it lives at has simply changed, or a hidden Use Printer Offline setting is switched on.

Quick fixes first

1. Open the print queue and untick Use Printer Offline, then cancel every job sitting in the list.
2. Power-cycle in order: printer off, router off, wait 30 seconds, router on, wait two minutes, printer on, then the computer.
3. Print the printer's own network configuration or Wi-Fi test page from its control panel and note the IP address.
4. Compare that address to the one in Printer properties, then Ports. If they differ, that is your problem.
5. In Printer properties, then Ports, then Configure Port, untick SNMP Status Enabled.

Those five steps clear roughly four out of five offline errors. If yours survives them, work through the sections below in order.

Why this happens

Home routers hand out IP addresses on a lease. When the lease expires - or after a power cut, firmware update or router replacement - the printer can be given a different address. Windows does not rediscover printers automatically; it keeps the original address baked into the printer port and keeps knocking on an empty door.

The second big cause is status polling. Windows uses SNMP to ask a network printer "are you there?". Many modern printers, especially ones in deep sleep, ignore SNMP requests or answer them slowly. Windows interprets silence as Offline even though printing itself would work perfectly.

Third: energy saving. Printers ship with aggressive sleep timers that drop the Wi-Fi radio to save a few watts. The printer wakes on a print job in theory, but a weak signal or an older 802.11n radio often means it misses the wake-up packet entirely. Fix 1: Clear the offline flag and the queue in Windows 11

Go to Settings › Bluetooth & devices › Printers & scanners, click your printer, then Open print queue. In the queue window open the Printer menu and make sure both Use Printer Offline and Pause Printing are unticked.

Now clear the backlog. A single corrupt job can hold the whole queue hostage and keep the printer flagged offline. Select every document, right-click and cancel. Fastest route to the queue without menus: press Win+R, type control printers and press Enter.

Fix 2: Confirm the printer's real IP address

Every network printer can print its own configuration page. On most HP models it is Settings › Reports › Network Configuration Page; on Canon PIXMA it is Setup › Device settings › LAN settings › Print LAN details; on Epson it is Settings › General Settings › Network Settings › Network Status › Print Status Sheet; on Brother it is Menu › Print Reports › Network Configuration. Some entry-level models with no screen print the page when you hold the Wi-Fi or Information button for a few seconds.

On the computer, open Settings › Bluetooth & devices › Printers & scanners › your printer › Printer properties › Ports. The ticked port shows the address Windows is using. If the two addresses do not match, the printer moved and Windows never noticed.

Point Windows at the right address

You can either edit the existing port or create a new one. Creating a new one is cleaner: in Ports, click Add Port › Standard TCP/IP Port › New Port, enter the address from the configuration page, and let Windows detect the device. Tick the new port and print a test page.

Fix 3: Reserve a fixed IP address (the permanent fix)

Editing the port works until the next lease renewal. The durable fix is a DHCP reservation, which tells the router to always give this printer the same address.

1. Find the printer's MAC address on the same network configuration page - twelve hexadecimal characters, sometimes labelled Hardware Address.
2. Log into your router's admin page or app.
3. Look for DHCP Reservation, Address Reservation, Static Lease or Reserved IP under LAN or Advanced settings.
4. Pair the MAC address with an address inside your router's range, ideally near the top such as .200, where it will not collide with phones and laptops.
5. Reboot the printer so it picks up the reserved address, then confirm on a fresh configuration page.

Alternatively, set the static address on the printer itself under its network menu. That works but is easier to get wrong, and a mismatched gateway or subnet mask will take the printer off the network entirely.

Fix 4: Turn off SNMP status polling

This single setting resolves a surprising share of "offline but definitely connected" cases, particularly on Brother and Epson machines that sleep deeply.

Open Printer properties › Ports, select the ticked TCP/IP port, click Configure Port, and untick SNMP Status Enabled. Click OK twice. Windows stops asking the printer for a status report and simply sends jobs, which the printer wakes up and prints.

Fix 5: Rule out the network path

Printer and computer must be on the same subnet and the same network name. Two configurations break this silently:

• Guest networks. Guest Wi-Fi isolates clients from each other by design. A printer on guest Wi-Fi is invisible to a laptop on the main network, and vice versa.
• Band steering. Most home printers only join 2.4GHz. If your router advertises both bands under one name and your laptop is locked to 5GHz, discovery can fail even though both devices are technically on the same network. Splitting the bands during setup avoids the whole class of problem - see printer not found during wireless setup.

A VPN client on the computer is the other silent killer. Most consumer VPN apps route all traffic through the tunnel, including traffic to your own LAN, which makes the printer unreachable. Enable the VPN app's local network or LAN bypass option, or disconnect while printing.

Fix 6: macOS, including macOS 26 Tahoe

On a Mac, go to System Settings › Printers & Scanners. If the printer shows Paused, click Resume. If it shows Offline, remove it with the minus button and add it again with the plus button - macOS rediscovers the current address in the process, which is why re-adding fixes so many Mac cases outright.

Since macOS 26 Tahoe, local network discovery requires explicit permission per app. Open System Settings › Privacy & Security › Local Network and enable the toggle for your printer's software and for whatever you print from. Without it, Bonjour discovery silently returns nothing and printers appear to have vanished.

If the list is a mess, reset the whole subsystem: right-click (or Control-click) inside the printer list and choose Reset printing system. This removes every printer and queue, so you will re-add them, but it clears corrupt entries that nothing else touches.

Fix 7: Reinstall or switch the driver

From July 2026, new Windows 11 installations default to Windows Ready Print, the Mopria and IPP-based driverless printing stack. It is more reliable for basic printing and immune to many classic driver faults, but it can strip vendor-specific features such as automatic duplex options, tray selection and scan-to-PC. If your printer went offline and lost features at the same time after a clean install or a major update, you are probably now on the driverless stack.

Brand-specific notes

HP

Open the HP Smart app - now also branded simply the HP app - and use its printer diagnostics to re-establish the connection. On Windows, HP Print and Scan Doctor automatically resets ports and the spooler; there is no macOS version. Canon

PIXMA models will silently drop to standby after a router reboot. Re-run Setup › Device settings › LAN settings › Wireless LAN setup, or use Easy Wireless Connect from the Canon PRINT app. Canon printers also respond poorly to SNMP polling in sleep, so Fix 4 applies strongly here.

Epson

EcoTank and WorkForce units frequently keep an old address after a network change. Use the printer's Network Settings › Restore Default Settings then re-run setup, and check that Epson Connect has not been left pointing at a stale registration.

Brother

Brother's deep sleep is the most aggressive of the four brands. On the panel, go to Settings › General Setup › Ecology › Sleep Time and raise it, or disable Auto Power Off. Combined with disabling SNMP status, this ends most Brother offline complaints.

Which fix matches your symptom

If nothing worked

At this point you have ruled out the software causes, so consider the radio. Printer Wi-Fi modules do fail, usually gradually: the printer connects at close range but not from its usual spot, or joins and drops within minutes. A cheap and definitive test is to run a network cable from the router to the printer's Ethernet port if it has one, or a USB cable to the computer. If the printer works flawlessly wired, the wireless module is the fault.

Repair economics rarely favour fixing that. A wireless module replacement on a consumer inkjet typically costs more in labour than a comparable new machine, and most sub-$150 printers are not designed to be opened. On a business-class laser or an ink tank machine with plenty of supplies left, a service call is worth pricing up. Either way, running the printer over Ethernet or a powerline adapter is a legitimate long-term solution that costs a fraction of a repair.
