Printer Not Found During Wireless Setup? Fix It in Windows 11, macOS, iPhone and Android

When a setup app or driver installer cannot find your printer on Wi-Fi, it is almost never a fault with the printer. Three causes account for the vast majority of failures: the printer's radio only supports 2.4GHz and your router or phone is on 5GHz, the printer is not currently in setup mode, or something on the network - guest isolation, a VPN or a firewall - is blocking device discovery.

Quick fixes first

1. Connect the phone or computer you are setting up from to the 2.4GHz network, not 5GHz.
2. Put the printer back into setup mode: hold the Wireless button until the light flashes, or run the Wi-Fi Setup Wizard on its screen.
3. Move the printer within a few metres of the router for the pairing step.
4. Turn off any VPN on the phone or computer, and switch off the guest network temporarily.
5. Restart the router, wait two minutes, then restart the printer and run setup again.

Why this happens

Printer radios are built to a price. Even printers released in 2026 commonly ship with 2.4GHz-only Wi-Fi because the range is better, the chip is cheaper and print jobs need very little bandwidth. Meanwhile, modern routers advertise 2.4GHz and 5GHz under a single network name and decide for you which band each device uses - a feature called band steering. If your phone lands on 5GHz, it and the printer are on different radios, and the discovery traffic that setup depends on never crosses between them reliably.

The second structural cause is discovery itself. Setup apps find printers using mDNS and Bonjour multicast packets. Guest networks, "client isolation" or "AP isolation" settings, mesh systems with strict device separation, and almost every consumer VPN client will drop that multicast traffic. The printer is on the network and perfectly reachable by IP address, but invisible to anything that relies on discovery.

Fix 1: Get everything onto 2.4GHz

Check your printer's specification sheet for "802.11" - if it lists only b, g and n without "ac", "ax" or "dual-band", it cannot see 5GHz at all.

Split the bands temporarily

In your router's admin page or app, look for Wireless settings. You want either:

• Separate network names for the two bands, often by adding a suffix such as -2.4G to the 2.4GHz name, or
• A switch labelled Band Steering, Smart Connect or Dual-Band Wi-Fi that you can turn off for the duration of setup.

Then connect your phone or laptop to the 2.4GHz name, run setup, and switch back afterwards. Once the printer has joined, it stays on 2.4GHz regardless of what your other devices do.

Fix 2: Put the printer into setup mode

A printer only advertises itself for setup during a limited window. If it has been sitting powered on for a day, that window has expired and no app will find it.

• Models with a touchscreen: Wireless or Network menu, then Wi-Fi Setup Wizard or Wireless Setup Wizard. This also lets you pick the network and type the password directly, which is the most reliable route of all.
• Models without a screen: hold the Wireless button until the light flashes. On many HP models, hold Wireless and Cancel together for five seconds to restore network defaults, which restarts the two-hour setup window.
• Canon PIXMA: Setup, then Device settings, then LAN settings, then Wireless LAN setup, then Easy wireless connect for app-based setup.
• Epson: Settings, then General Settings, then Network Settings, then Wi-Fi Setup, then Wi-Fi Setup Wizard.
• Brother: Menu, then Network, then WLAN, then Setup Wizard.

If the printer previously joined a different network, restore its network defaults before trying again. Old credentials frequently prevent it from accepting new ones.

Fix 3: Remove the network obstacles

Guest networks and client isolation

Guest Wi-Fi is designed so devices cannot see each other. A printer on guest Wi-Fi will never be discoverable from your main network. Put both on the main network. While you are in the router, look for a setting called Client Isolation, AP Isolation or Device Isolation and make sure it is off for the main network.

VPN clients

This is the cause people miss most often. A VPN app on your phone or laptop routes everything through the tunnel, including local traffic, so the printer becomes unreachable. Disconnect the VPN for setup, or enable its local network bypass option if it has one.

Firewalls and security suites

Third-party security suites block the multicast ports discovery needs. Pause the firewall for the setup step, then re-enable it and allow the printer software through when prompted. On Windows 11, also make sure your network profile is set to Private: Settings › Network & internet › Wi-Fi › your network › Network profile type › Private. A Public profile blocks device discovery by design.

Fix 4: Set up on each platform

Windows 11

Once the printer is on the network, add it at Settings › Bluetooth & devices › Printers & scanners › Add device. If nothing appears after a minute, click Add manually, choose Add a printer using an IP address or hostname, and enter the address from the printer's network configuration page. macOS

Go to System Settings › Printers & Scanners › Add Printer. On macOS 26 Tahoe, first grant permission at System Settings › Privacy & Security › Local Network for the setup app and for System Settings itself - without it, the Add Printer list stays empty no matter what the printer is doing.

iPhone and iPad

iOS has no printer setup screen; AirPrint discovers printers automatically when they are on the same network. If nothing appears, the printer is not on your network yet - complete setup from a computer or the manufacturer's app first. Android

Install Mopria Print Service or the manufacturer's app, then print from any app and pick the printer from the list. Android needs Location permission granted to the app to scan the local network - a permission most people decline out of habit, which then breaks discovery silently.

ChromeOS

Open Settings › Printing › Printers and the printer should appear under Available printers to save. ChromeOS uses IPP Everywhere and needs no drivers, but it does need the printer on the same subnet.

Fix 5: Skip Wi-Fi entirely for setup

Two shortcuts work when the network refuses to co-operate:

• USB first. Connect the printer by USB, install the vendor software, and use its network configuration tool to push your Wi-Fi credentials to the printer. Then unplug the USB cable. This is the single most reliable method when a router cannot be reconfigured.
• Wi-Fi Direct. The printer creates its own network you connect to directly. It is a workable permanent arrangement for a single laptop, though the computer loses internet access while connected on some machines - details in Wi-Fi Direct printing.

If the printer has an Ethernet port and the router is nearby, a cable is better than either. It removes the whole class of problem permanently.

Brand-specific notes

HP setup on a phone genuinely will not work without Bluetooth and Location switched on, because HP Smart uses Bluetooth to hand over the Wi-Fi credentials. See HP Smart can't find the printer for that specific case, and Canon PIXMA won't connect to Wi-Fi for Canon's Easy Wireless Connect quirks.

After setup: make it stick

A printer that joins successfully then disappears next week has an IP address problem, not a setup problem. Reserve a fixed address for it in your router using its MAC address from the network configuration page, and raise the printer's sleep timer so its radio stays awake. If nothing worked

If the printer will not join even when placed next to the router on a split 2.4GHz network with no VPN or firewall in the way, test the radio itself. Connect by USB or Ethernet: if the printer works perfectly wired but never wirelessly, the Wi-Fi module has failed. That is a board-level repair on almost every consumer model, and it is rarely economic - labour alone typically exceeds the price of a comparable new machine, and parts for sub-$150 printers are often unavailable.

The pragmatic alternatives are worth considering seriously: a cheap powerline adapter or a small Wi-Fi bridge plugged into the printer's Ethernet port gives you wireless printing again for a fraction of a repair, and is more reliable than the built-in radio ever was. On a business-class machine still holding value, a service quote is worth getting.
