Printer Prints But Won't Scan? How to Fix a Scanner That Stopped Working

When a printer prints perfectly but refuses to scan, the two functions have been separated somewhere. Printing and scanning use entirely different drivers and different communication paths, so a printer can be fully working as a printer while the scanner is invisible to your computer. The most common single cause is a minimal or driverless setup that installed print support and nothing else.

Quick fixes first

1. Try scanning from the printer's own control panel to the printer's memory or a USB stick, if it supports that. If that works, the scanner hardware is fine.
2. Open the Windows Scan app or, on a Mac, System Settings › Printers & Scanners › Scan › Open Scanner, and see whether the scanner appears at all.
3. Press Win+R, run services.msc, and make sure Windows Image Acquisition (WIA) is running and set to Automatic.
4. Install the full driver and software package for your exact model - not the basic driver.
5. Re-run the scan-to-computer setup so the printer has a current destination.

Why this happens

A print job travels one way: computer to printer. A scan travels the other way, and that difference matters. When you press Scan on the printer's panel, the printer has to initiate a connection back to a specific computer, at an address it stored during setup. Anything that changes that address - a new router, a DHCP lease renewal, a renamed or replaced PC - breaks the destination silently. The button still works; nothing is listening at the other end.

The other structural cause is driver scope. Manufacturers publish a basic print driver and a full software package. Windows Update and the driverless stack supply printing only. So a printer set up the quick way, or one that came through a Windows feature update, ends up with print support and no scan driver at all. This has become more common since July 2026, when new Windows 11 installations began defaulting to Windows Ready Print, the Mopria and IPP driverless stack - excellent for printing, and no help whatsoever for scanning.

Fix 1: Prove where the fault is

Two quick tests narrow it down immediately:

• Make a photocopy. Copying uses the scanner and the print engine with no computer involved. If copies come out fine, the scanner hardware, lamp and carriage all work, and the problem is entirely on the computer side.
• Scan to a USB stick or to the printer's memory if the model supports it. Same conclusion, and it also confirms the document feeder works.

Fix 2: Install the scan components

This is the fix for the majority of cases. Go to the manufacturer's support site, find your exact model number including any regional suffix, select Windows 11, and download the full or complete driver and software package. A basic driver is a few tens of megabytes; a full package is usually several hundred.

If a previous partial install is in the way, remove it first:

1. Remove the printer at Settings › Bluetooth & devices › Printers & scanners.
2. Uninstall the manufacturer's software at Settings › Apps › Installed apps.
3. Press Win+R, run printui /s /t2 and remove the leftover driver package.
4. Reboot, then install the full package.

If the installer itself fails, work through driver installation fails or rolls back first.

Fix 3: Restart the Windows scanning services

Windows Image Acquisition is the service every WIA-compatible scanner depends on.

1. Press Win+R, type services.msc, press Enter.
2. Find Windows Image Acquisition (WIA). Set Startup type to Automatic and click Start if it is stopped.
3. Check its dependencies on the Dependencies tab - Shell Hardware Detection and Remote Procedure Call both need to be running.
4. Restart the machine and try scanning again.

Some vendors also install their own scan service - names vary, but they appear in the same list under the manufacturer's name. If one is stopped, start it and set it to Automatic.

Fix 4: Repair network scanning

Network scan destinations are the most fragile part of the whole arrangement.

Confirm the printer is reachable

If the printer is offline or its address has changed, scanning fails along with everything else. Print the printer's network configuration page, compare its address to the one in Printer properties › Ports, and fix any mismatch. Re-register the scan destination

Each manufacturer has its own tool for this:

• HP: Scan to Computer must be enabled from the HP software on the PC; look for Manage Scan to Computer.
• Canon: the IJ Scan Utility and, on network models, the Canon IJ Network Scanner Selector, which must have your PC ticked.
• Epson: Epson ScanSmart, plus the destination list in Epson Scan 2 Settings.
• Brother: Scan to PC destinations are configured in the Brother software or the printer's Web Based Management under Scan.

Whichever tool applies, run it from the computer you want to scan to, while that computer is awake. A sleeping PC cannot accept a scan.

Firewall

Pause your third-party security suite and test. If scanning works, add an allow rule for the scan application rather than leaving the firewall off. Also confirm your Windows network profile is set to Private at Settings › Network & internet › Wi-Fi › your network › Network profile type - a Public profile blocks the discovery scanning needs.

Fix 5: USB scanning problems

If the scanner is connected by USB and not detected:

• Use a rear motherboard port rather than a front panel or hub, and keep the cable under about two metres.
• Try a different, known-good cable. USB cables fail more often than people expect.
• Disable USB selective suspend: Control Panel › Power Options › Change plan settings › Change advanced power settings › USB settings › USB selective suspend setting › Disabled.
• In Device Manager, look for the scanner or an Unknown device, uninstall it, unplug and replug.

Fix 6: macOS

Open System Settings › Printers & Scanners, select the device, and click the Scan tab, then Open Scanner. If the Scan tab is missing, macOS has the printer installed with a print-only driver - remove the device and add it again, choosing the manufacturer's driver rather than the generic AirPrint entry.

On macOS 26 Tahoe, local network access is gated per application. Open System Settings › Privacy & Security › Local Network and enable the toggle for your scanning software and for Image Capture. Without it, network scanners simply do not appear, with no error message to explain why.

If the device list is corrupt, Control-click inside the printer list and choose Reset printing system, then add the device again. Apple's own Image Capture app is a useful test: if it sees the scanner and vendor software does not, the problem is the vendor software.

Brand-specific notes

HP Print and Scan Doctor tests and repairs the scan path automatically on Windows, though there is no macOS version. Epson ScanSmart replaces the retired Event Manager, which is a frequent source of confusion. Canon IJ Scan Utility needs the Network Scanner Selector configured before it will see a network model. If nothing worked

If copies also fail, or come out black, streaked or blank, the fault is in the scanner hardware - typically the CCD or CIS module, the lamp, or the carriage drive belt. A scanner that grinds or that produces a black page has usually lost its lamp or its carriage has jammed against the end stop.

On a consumer all-in-one, scanner assembly replacement is not economic: the part alone often approaches the price of a new machine, before labour. On a business multifunction device with a low page count it is a routine service item and worth a quote. In the meantime, a dedicated flatbed or sheet-fed scanner costs considerably less than an all-in-one repair and is a reasonable stopgap if the printing half still works well.
