Epson "Communication Error" When Printing or Scanning: 8 Fixes That Actually Work

An Epson communication error means your computer lost its path to the printer. It is almost always a changed IP address, a broken driver pairing, a firewall rule or macOS local network permission.

An Epson communication error means the software on your computer or phone cannot reach the printer over the path it expects. Nine times out of ten this is a network addressing problem, a driver that has lost its pairing, or a firewall or privacy permission blocking Epson's services. The printer itself is usually printing self-test pages perfectly well.

Quick fixes first

  1. On the printer panel, print a network status sheet: Setup, then Network Settings, then Network Status, then Print Status Sheet. Note the IP address.
  2. Compare that address to the one your computer has stored. If they differ, that is your answer and you can skip to Fix 2.
  3. Power-cycle the trio in order: router first, wait two minutes, then the printer, then the computer.
  4. Confirm the printer and computer are on the same network name - not the guest network, and not a separate 5 GHz name if the printer is 2.4 GHz only.
  5. Try a USB cable if you have one. If everything works over USB, the printer hardware is fine and the fault is network-side.

Why Epson communication errors happen

Epson software - the printer driver, Epson Scan 2, ScanSmart and Smart Panel - stores the printer's network location when you first set it up. Most home routers hand out addresses by DHCP with a lease that expires, so after a power cut, a router reboot or a firmware update, the printer can come back on a different address. The stored location is now wrong, and every attempt to print or scan times out with a communication error.

The second family of causes is software permissions. Scanning in particular requires the computer to make an unsolicited connection to a device on the local network, which is exactly what modern security features are designed to question. Windows Defender Firewall, third-party security suites and macOS Local Network privacy all sit in that path.

The third family is driver mismatch. Windows Update sometimes replaces a full Epson driver with a generic IPP class driver. Printing may still work; scanning and status reporting stop, producing communication errors from the Epson utilities only.

Fix 1: Confirm the printer is genuinely on the network

On the printer panel, check the Wi-Fi icon shows connected. If it does not, run Setup, then Network Settings, then Wi-Fi Setup, then Wi-Fi Setup Wizard, and rejoin your network. Epson printers on the consumer range are frequently 2.4 GHz only, so if your router broadcasts one merged name across both bands and steers you to 5 GHz, the printer may fail to join. Temporarily splitting the band names, or using the WPS button method, gets around it.

Fix 2: Fix the IP address permanently

Once you know the printer's current address, do two things. First, give it a permanent address: on the printer panel go to Setup, then Network Settings, then Advanced, then TCP/IP, and set Manual with an address outside your router's DHCP pool (for example, if the router hands out .100 to .200, use .50). Set the subnet mask and gateway to match your router. Alternatively, and more robustly, log into your router and create a DHCP reservation for the printer's MAC address, which is printed on the network status sheet.

Second, repoint the computer. On Windows 11, open Settings, then Bluetooth & devices, then Printers & scanners. Remove the Epson entry, then choose Add device, let it search, and add the printer again. If it is not found, use "Add manually", then "Add a printer using an IP address or hostname", and enter the address you just fixed. On macOS 26 Tahoe, open System Settings, then Printers & Scanners, remove the printer with the minus button, then add it again with the plus button and pick the Bonjour entry rather than the IP entry where possible.

Fix 3: Repair Epson Scan 2 separately

This is the step most people miss. Epson Scan 2 and ScanSmart maintain their own scanner list independently of the Windows or macOS printer list. Fixing the printer does not fix the scanner.

Open Epson Scan 2 Utility (Windows: Start menu, EPSON folder; macOS: Applications, Epson Software folder). In the Scanner dropdown choose Settings, delete the stale entry, then Add, and select your scanner at its correct address. Test a scan before doing anything else. If Scan 2 finds the scanner but ScanSmart does not, reinstall ScanSmart afterwards - it reads Scan 2's configuration at install time.

Fix 4: Grant Local Network permission on macOS

macOS 26 Tahoe continues the Local Network privacy control introduced in the previous release, and it is the leading cause of sudden Epson scanning failures on Mac. Open System Settings, then Privacy & Security, then Local Network, and make sure Epson Scan 2, Epson ScanSmart, Epson Software Updater and any Epson utility you use are toggled on. If an app is missing from the list, launch it once, let it fail, then check the list again - macOS only adds apps after they attempt a connection.

Fix 5: Allow Epson through the firewall

On Windows 11, open Windows Security, then Firewall & network protection, then "Allow an app through firewall". Confirm the Epson entries are ticked for Private networks. If you run a third-party security suite (Norton, McAfee, Bitdefender, ESET), check its own firewall list too - the Windows setting is irrelevant if a suite has taken over.

To test quickly, disable the firewall for two minutes on a private home network only, and try scanning. If it works, re-enable the firewall immediately and add proper exceptions rather than leaving it off.

Fix 6: Reinstall the full Epson driver package

Generic drivers cause silent feature loss. Download the full driver and Epson Scan 2 package for your exact model and operating system from Epson's support site, uninstall the existing Epson software first, restart, then install fresh. On Windows, after installing, open Settings, then Bluetooth & devices, then Printers & scanners, select the printer, choose Printer properties and check the driver name is an Epson driver and not "IPP Class Driver".

Fix 7: Restart the spooler and clear stuck jobs

A failed job can jam the queue and produce communication errors for every subsequent attempt. Press Windows+R, type services.msc, find Print Spooler, right-click and choose Restart. Fix 8: USB checks if you are not using the network

For USB-connected Epsons, use a rear-panel port on a desktop rather than a front or hub port, and a cable under two metres. Try a different cable before concluding anything - USB printer cables fail more often than people expect. On Windows, unplug the cable, remove the printer from Printers & scanners, then reconnect and let it re-enumerate.

If nothing worked

Communication errors that survive a clean driver reinstall, a fixed IP address and confirmed firewall exceptions are rare, and at that point the usual culprits are network-level: client isolation enabled on the router (common on ISP-supplied hardware and always on for guest networks), a mesh system putting the printer on a different subnet from the computer, or VLAN separation in a flat that shares a landlord's connection. Testing with a phone hotspot - printer and computer both joined to it - proves the point in five minutes.
