Dell printer reports a cartridge error

The printer cannot read or accept the toner cartridge fitted, so it stops rather than printing with a supply it does not recognise. Dell laser printers were manufactured by several partners over the years, so the exact wording varies, but the underlying condition is the same. What causes it

  • The cartridge is not fully seated in its slot
  • Dirty or oxidised contacts between the chip and the printer
  • A third-party or refilled cartridge with an unrecognised chip
  • Packing material left on a new cartridge
  • A cartridge intended for a different Dell model or region

How to fix it, in order

Work down the list and stop when the printer recovers. The steps are ordered from most likely and least invasive to last resort.

  1. Reseat the cartridge

    Switch the printer off, open the front cover, remove the cartridge and slide it back in until it clicks into place. Close the cover firmly and switch the printer on. A cartridge sitting slightly proud of its stop will not make contact and reports as faulty.

  2. Remove all packing material

    On a new cartridge, check for sealing tape, plastic strips and any protective cover over the drum. Manufacturers use brightly coloured tabs for a reason, and a missed one is the most common cause of a cartridge error on first install.

  3. Clean the chip contacts

    Wipe the small metal contact pad on the cartridge with a dry lint-free cloth, and check the matching spring contacts inside the printer are not bent or dirty. Avoid liquids, which leave residue on the chip.

  4. Confirm the part number

    Check the cartridge part number against the supplies list for your exact Dell model, which is printed inside the front cover or in the user guide. Cartridges that fit physically are not always coded for the machine.

  5. Test with a genuine cartridge

    Fit a genuine Dell cartridge of the correct part number if you have one. If the error clears, the previous cartridge was the problem, which is worth knowing before you order more of the same third-party supply.

  6. Power cycle to clear a latched message

    Switch the printer off, unplug it for a minute, and start it again. Cartridge messages sometimes latch and persist after the physical cause is fixed until the printer restarts and re-reads the chip.

  7. Check the firmware level

    If the printer is networked, open its web page by typing the IP address into a browser and look at the firmware version. Firmware updates change how cartridge chips are validated, and third-party supplies that worked previously may be refused afterwards.
