Xerox reports non-Xerox toner detected

The machine read the cartridge chip and determined the toner is not a genuine Xerox supply. Depending on the model and its configuration, it may simply warn you, disable supply level reporting, or refuse to print. The message does not indicate a fault with the printer.

What causes it

  • A third-party, remanufactured or refilled cartridge is fitted
  • A genuine cartridge with a damaged or unreadable chip
  • A cartridge intended for a different region
  • A firmware update changed how cartridges are validated
  • A refilled genuine cartridge whose chip was not reset

How to fix it, in order

Work down the list and stop when the printer recovers. The steps are ordered from most likely and least invasive to last resort.

  1. Confirm what is fitted

Check the part number on each cartridge against the supplies list for your exact model on the Xerox support site. A genuine cartridge with the wrong part number for the machine can produce the same message as a third-party one.

  2. Reseat the cartridge and restart

Switch the machine off, remove the cartridge, wipe the chip contact pad with a dry lint-free cloth, refit it until it clicks, and restart. A misread chip on a genuine cartridge is worth eliminating before drawing conclusions.

  3. Acknowledge the message if printing continues

On many models the message is informational and you can dismiss it from the panel to keep working. Note that supply level readings for a third-party cartridge are often unavailable or inaccurate, so plan replacements by page count instead.

  4. Fit a genuine cartridge if printing is blocked

Where the machine refuses to print, a genuine Xerox cartridge with the correct part number is the reliable way to clear it. Keep the third-party cartridge if the supplier offers an exchange for a chip matched to your firmware level.

  5. Check the firmware level

Open the Embedded Web Server by typing the machine's IP address into a browser and look at the firmware version. If the message appeared right after an update, the validation logic changed and cartridges that previously worked may now be flagged.

  6. Weigh the trade-off before declining updates

Firmware updates carry security and reliability fixes as well as supply validation changes. If you rely on third-party toner, discuss with your supplier which firmware levels their chips support rather than simply avoiding all updates.

Stopping it happening again

When it is not worth fixing yourself

If you would rather not work through this alone, a printer specialist can take a look with you on a screen-share and tell you honestly whether the machine is worth saving.

Frequently asked questions

Will the printer refuse to print?

It depends on the model and configuration. Many only warn and disable supply reporting, while some stop printing entirely.

Does third-party toner damage the machine?

Quality varies. Poor toner can cause density problems and, in bad cases, residue in the developer or fuser, which is why manufacturers discourage it.

Can the message be turned off permanently?

Some models allow the warning to be suppressed in the Embedded Web Server, but the supply level reporting usually remains unavailable.
