The Print and Scan Experience is Xerox's modern app for driving a printer from a desktop: it prints files, scans from a multifunction device, shows supplies and status and exposes device settings without the older control panel software. It is distributed through the Microsoft Store and Mac App Store for individual users, with a separate administrator installer for managed Windows deployments. A notable recent change is that it now supports Lexmark printers too, since Xerox acquired Lexmark in 2025, so mixed Xerox and Lexmark sites can use one app.

Version and licence: Free. The Mac App Store version is 4.0 at about 6.6 MB and needs macOS 14 or later. Windows also has an administrator installer at version 9.99.18.0, about 61.78 MB, for managed deployments. It now supports Lexmark printers as well as Xerox, following the Xerox acquisition of Lexmark. About 6.6 MB on macOS, about 61.78 MB for the Windows admin installer.

How to install it

  1. Step 1

    Add the printer to Windows or macOS first, either through the Global Print Driver, Smart Start or the built-in IPP support.

  2. Step 2

    On Windows open the Microsoft Store and install Xerox Print and Scan Experience; on macOS use the Mac App Store.

  3. Step 3

    For a managed Windows deployment, download the administrator installer instead and deploy it with your usual tooling.

  4. Step 4

    Open the app and allow the local network permission when prompted.

  5. Step 5

    Choose your printer from the device list, or add it by IP address if discovery does not find it.

  6. Step 6

    Check the supplies and status page loads, which confirms two-way communication is working.

  7. Step 7

    Run one scan from the glass and one from the feeder if the device is a multifunction model.

Which printers it supports

Xerox printers and multifunction devices including the VersaLink, AltaLink, WorkCentre and Phaser families, and, since the Lexmark acquisition, Lexmark printers as well.

When Xerox Print and Scan Experience will not work

The app cannot find the printer

Grant the local network permission on macOS or allow the app through the firewall on Windows, then add the printer by IP address if automatic discovery still fails. Cross-subnet discovery is normally blocked.

Status and supplies show as unavailable

Two-way communication uses SNMP, which many networks and printers now restrict. Enable SNMP on the device in its Embedded Web Server, or accept that status will be unavailable while printing still works.

Scanning is not offered

Scan requires a multifunction device with scanning enabled for network clients. Check the device's Embedded Web Server scan settings, since administrators often disable scan-to-computer on managed fleets.

I need to deploy it to many machines

Use the Windows administrator installer rather than the Store version. It is intended for managed deployment and can be pushed with standard software distribution tools.

My Lexmark printer is not recognised

Lexmark support was added in recent versions, so update the app first. Then add the Lexmark device by IP address, since discovery across brands is less reliable than within one brand.

Do I still need a print driver?

For full printing features yes. The app complements the driver rather than replacing it, though basic printing can work over IPP without one.
