The Xerox Workplace app is the mobile client for printing and scanning in a managed Xerox environment. It prints documents and photos from a phone, scans from a multifunction device back to the phone or email, and releases held jobs at any enrolled printer. The release and pull-print features depend on the organisation running Xerox Workplace Suite or Workplace Cloud, so a standalone user with one Xerox printer gets only the basic printing and scanning parts. It is a different product from Easy Assist, which is for setup and management.

Version and licence: Free app, but the pull-printing features require the organisation to run Xerox Workplace Suite on premises or Xerox Workplace Cloud. Without that back end you get basic printing only. Current iOS version is 6.2.3 at about 37.6 MB. About 37.6 MB on iOS.

What it does

How to install it

  1. Step 1

    Check with your IT team whether Xerox Workplace Suite or Workplace Cloud is in use, since the release features depend on it.

  2. Step 2

    Install the Xerox Workplace app from the App Store or Google Play.

  3. Step 3

    Connect the phone to the organisation's network or VPN as instructed.

  4. Step 4

    Open the app and allow the local network permission.

  5. Step 5

    Add a printer by discovery, by IP address, or by scanning the QR code at the device panel.

  6. Step 6

    Sign in with your organisation credentials if prompted.

  7. Step 7

    Send a test document, then release it at the device by signing in at the panel or scanning the QR code.

Which printers it supports

Xerox multifunction devices and printers, principally VersaLink, AltaLink and WorkCentre models. Pull printing requires devices enrolled in Xerox Workplace Suite or Workplace Cloud.

When Xerox Workplace app will not work

The release option is missing

Pull printing needs Xerox Workplace Suite or Workplace Cloud behind it. Without that server or service, the app can only print directly to a printer it can reach.

The app cannot find the printer

Grant the local network permission, confirm the phone is on the corporate network rather than a guest network, and add the device by IP address if discovery is blocked between wireless and wired segments.

Scanning to the phone does not work

Scan-to-mobile must be enabled on the device, which is an administrator setting in the Embedded Web Server. On managed fleets it is often disabled by policy.

Sign-in is rejected

Use the same credentials you use at the printer panel, including any domain prefix. If your organisation uses single sign-on, the app may need to open a browser window, so allow that to complete.

Jobs disappear before I collect them

Held jobs expire after a period the administrator sets. Release the job sooner, or ask for the retention period to be extended.

Frequently asked questions

Is this the same as Easy Assist?

No. Easy Assist is for setting up and managing printers. The Workplace app is for printing, scanning and releasing jobs.

Do I need Workplace Suite or Cloud?

For pull printing and secure release, yes. Basic printing to a reachable Xerox printer works without it.

Can I use it at home with one Xerox printer?

Yes for direct printing and scanning, but the release features will not be available.
