Zebra printer shows Media Out or prints blank labels
The printer cannot detect labels in the media path, or it detects them but produces nothing on them. Media Out normally means the label sensor is not seeing the gaps between labels, while blank output almost always means direct thermal media is loaded upside down or the wrong media type is configured. Both are calibration and loading issues rather than faults.
What causes it
- Labels loaded upside down so the thermal coating faces away from the printhead
- The printer is set to thermal transfer mode with no ribbon fitted
- The media sensor is not calibrated for the label gap or black mark
- The sensor is dirty or obstructed by label adhesive and dust
- The media guides are not set against the label stock
How to fix it, in order
Work down the list and stop when the printer recovers. The steps are ordered from most likely and least invasive to last resort.
Check which way up the labels are loaded
Direct thermal labels have a heat-sensitive coating on one side only. Scratch the label surface with a fingernail: a dark mark means that side is the printable side and must face up towards the printhead. Labels loaded the wrong way produce perfectly blank output with no error.
Confirm the print method matches the media
In the printer's settings or through Zebra Setup Utilities, check whether the print method is set to Direct Thermal or Thermal Transfer. Thermal transfer requires a ribbon; with the mode set to thermal transfer and no ribbon fitted, nothing prints.
Run the media calibration
With labels loaded and the printhead latched, hold the feed button through the flash sequence for your model, or use Zebra Setup Utilities to run a media calibration. This teaches the printer the length of the label and where the gaps are, which resolves most Media Out messages on correctly loaded stock.
Set the media guides
Slide the guides in until they just touch the edges of the label roll without pinching it. Media wandering across the sensor gives inconsistent readings, which appear as intermittent Media Out errors during a run.
Clean the sensor and printhead
Switch the printer off and open it, then clean the media sensor and the printhead with a cotton swab and isopropyl alcohol, letting them dry fully before closing. Adhesive residue on the sensor is a very common cause of labels not being detected.
Check the label type setting
Gap, black mark and continuous media are sensed differently. Set the printer to match the labels you use, since a printer looking for a black mark on gap-sensed labels will report Media Out with a full roll fitted.
Adjust darkness if print is faint rather than absent
If labels come out very faint rather than blank, increase the darkness setting and reduce the print speed. Faint output points at settings or a worn printhead rather than at loading.
