HP OfficeJet Pro 9015e vs Epson WorkForce Pro WF-3820: The Small Business Inkjet Test

If you have outgrown a home all-in-one but do not want a colour laser, the HP OfficeJet Pro 9015e and Epson WorkForce Pro WF-3820 are the two obvious candidates. Both are business inkjets with ADFs, duplex printing, Ethernet and fax. The HP is faster and better equipped; the Epson is cheaper to feed and free of strings. That is the trade.

Specifications side by side

The row that costs or saves you the most time is the ADF. HP's single-pass duplex scanner captures both sides in one movement. Epson's reverses the sheet or requires manual flipping. For any business that digitises double-sided paperwork, the HP is materially faster.

Running costs

Mono printing favours Epson at roughly 1.7 cents against HP's 2.3 cents. Full colour flips the other way: HP's 962XL colour cartridges are higher yield, giving roughly 9 cents for a colour page against around 11 cents on the Epson.

Then there is Instant Ink, which changes the arithmetic entirely for the HP. Plans charge per page printed rather than per millilitre of ink, so a colour-heavy office can pay far less than either retail figure. A mono-only office pays more. Work out your actual page count and colour ratio before assuming either way.

Output quality and durability

Epson's all-pigment DURABrite Ultra set is the technical differentiator. Pigment particles sit on the paper surface, so text stays sharp, colour resists water, and highlighters do not lift the ink. For invoices, delivery notes, contracts and archived records, that is a genuine business advantage.

HP pairs a pigment black with dye colours. Text quality is comparable, and colour graphics are brighter and photos noticeably better. The trade is durability: a dye-printed colour page will smear if it gets wet.

On speed, the HP is meaningfully quicker in colour, at around 18 ppm against 11. If you print colour proposals or marketing material in quantity, that difference is felt every day.

Who each printer suits

Choose the HP OfficeJet Pro 9015e if

• You scan double-sided documents and want single-pass duplex capture.
• Colour print speed matters to your workflow.
• You have run the Instant Ink numbers and they favour you.
• You want dual-band Wi-Fi and gigabit Ethernet.
• You use HP Smart's scan-to-cloud and mobile fax workflows.

Choose the Epson WorkForce Pro WF-3820 if

• You want documents that survive water, handling and highlighters.
• You buy ink outright and want the lowest mono cost per page.
• You do not want an account, a subscription or a permanently online printer.
• Your colour printing is charts and logos rather than photography.
• You want the smaller, lighter machine.

Setup, apps and drivers

HP Smart is effectively mandatory for 9015e setup and doubles as the driver installer. It is polished, with excellent mobile scanning and automatic edge detection, but it pushes HP+ and Instant Ink insistently. HP Easy Start gives a more traditional driver installation on Mac and Windows if you prefer.

Epson Smart Panel handles the WF-3820 with no account requirement and direct access to maintenance functions. Epson ScanSmart handles desktop scanning to searchable PDF, and scan-to-network-folder is configured through the printer's web interface.

Both models support AirPrint and Mopria Print Service for driverless printing from phones and tablets.

Known weaknesses and common errors

HP OfficeJet Pro 9015e

The most common technical ticket is the printer disappearing from the network after a firmware update or router reboot, which presents as HP printer offline. A DHCP reservation resolves nearly all cases. The second is the ink cartridge problem message, usually caused by contaminated contacts rather than a defective cartridge.

Printhead issues on the 9015e are less common than on older OfficeJets but not unknown; persistent colour dropout that survives cleaning is covered in HP printhead problem. The ADF pickup rollers glaze after a few thousand sheets and cause skewed feeds.

Epson WorkForce Pro WF-3820

Pigment inks are more prone to settling and nozzle blockage during long idle periods than dye inks, so leave the printer powered on and let it run its automatic maintenance cycles. The hardware fault code covered in Epson error 0x97 is the one that ends a WorkForce, and it is more likely on machines that are power-cycled at the wall mid-cycle.

Regional availability and model names

• United States and Canada: OfficeJet Pro 9015e with HP 962 series ink; WorkForce Pro WF-3820 with Epson 902 series.
• United Kingdom and Ireland: HP sells the OfficeJet Pro 9014e and 9019e using HP 963 and 963XL cartridges. Epson sells the WF-3820DWF using Epson 405 and 405XL ink.
• Australia and New Zealand: HP's local range centres on the OfficeJet Pro 9010 series with 965-series ink; Epson lists the WF-3820DWF with 405-series cartridges. Instant Ink availability is limited in Australia, which removes much of HP's cost argument.

Cartridges are not interchangeable across regions. HP in particular region-codes its supplies and will display a region mismatch message rather than printing.

Scanning workflows compared

Both machines can scan to email, to a network folder and to a USB stick, and both are configured through their embedded web servers rather than the mobile app. HP's implementation is the more polished: destination shortcuts appear on the touchscreen, credentials are easier to store safely, and the single-pass duplex ADF means a stack of double-sided originals becomes a correctly ordered PDF without intervention.

Epson's scan-to-folder works reliably but takes longer to set up, particularly against a modern Windows share where SMBv1 is disabled. Once configured it is dependable. Paired with Epson ScanSmart on a computer, it produces good searchable PDFs with accurate OCR.

If digitising paper is a core part of your week rather than an occasional task, the HP is worth the higher running cost on scanning alone. If you scan a few pages a month, the difference will not justify the ink premium.

Verdict

Choose the HP OfficeJet Pro 9015e if your business scans double-sided paperwork, prints colour at speed, and either wants Instant Ink or is happy paying HP's retail cartridge prices. It is the better-equipped machine and the single-pass duplex ADF alone justifies it for document-heavy offices.

Choose the Epson WorkForce Pro WF-3820 if you want a printer you simply own. Pigment ink produces documents that hold up in the real world, the 902XXL black is one of the better value inkjet consumables available, and there is no account, no subscription and no lock-in to think about.
